The ultimate Miami moving checklist

Moving anywhere is a logistics problem. Moving in Miami adds three that most checklists ignore: buildings that require insurance paperwork before they will let a truck near the loading dock, a hurricane season that runs half the year, and a rental market where nearly every lease turns over on the first of the month.

If you only do one thing on this list early, request your building’s move-in packet. It is the single most common reason a Miami move date gets cancelled — not the truck, the paperwork.

Eight weeks out

• Request the move-in and move-out packets from both buildings. Ask specifically what the certificate of insurance must say, which entities must be named, and what liability limits are required.
• Get three written quotes. Ask each mover for their USDOT number and check it on the FMCSA SAFER database. A mover that hesitates is telling you something.
• Decide what you are not taking. The cheapest box to move is the one you never pack. Sell, donate or dispose now while you have time.
• Start a moving folder — quotes, building packets, lease dates, closing dates, inventory. You will reference it constantly.

Six weeks out

• Book the mover. If your date falls on the 1st, the 31st or the last weekend of a month, book now — that is when most South Florida leases turn and crews sell out first.
• Reserve the freight elevator at both ends. Many Miami buildings only allow moves on weekdays between 9am and 4pm, and slots go weeks ahead.
• Submit the certificate of insurance request to your mover. Give them the building’s exact wording; a certificate naming the wrong entity gets rejected at the desk on move day.
• Check hurricane season. If you are moving June through November, ask your mover what happens if a named storm falls on your date, and confirm your homeowner’s or renter’s policy covers goods in transit and in storage.

Four weeks out

• Schedule utility transfers: FPL, water and sewer through your municipality, internet, and gas if applicable. Internet is the one to book earliest — installation windows in Miami commonly run two to three weeks.
• File a change of address with USPS, then update your bank, insurance, employer, and Florida driver’s licence and vehicle registration.
• Start packing non-essentials: off-season clothes, books, decor, spare linens, the garage.
• Book specialty handling for a piano, safe, aquarium, wine collection or large art. These need a different crew and different equipment, not the standard team.

Two weeks out

• Confirm everything in writing: mover, arrival window, elevator reservation, COI receipt, parking or dock permit.
• Arrange truck parking. On many Miami Beach and Grove streets a 26-foot truck needs a permit or a reserved metered zone. Your building manager will know; the city will fine you if you guess wrong.
• Use up the freezer and pantry. Frozen and refrigerated food does not travel in Florida heat.
• Transfer or set up school and medical records if you are changing districts or providers.

One week out

• Pack a first-night box per person: medication, chargers, two days of clothes, toiletries, bedding, towels, coffee setup, basic tools, toilet paper. Label it loudly and put it in your own car.
• Defrost the refrigerator at least 24 hours ahead and drain it fully.
• Photograph electronics connections before unplugging, and bag each device’s cables with it.
• Confirm the crew’s arrival window and give them the gate code, unit number, dock location and a mobile number that will be answered.

Move day

Time	What happens
Before arrival	Reserve parking, unlock the elevator with the front desk, clear pathways, put pets in a closed room or with a friend.
On arrival	Walk the home with the crew lead. Point out fragile, high-value and do-not-take items. Confirm the written quote before work starts.
During load	Stay reachable but out of the path. Check that inventory tags are going on as pieces leave.
Final sweep	Check every closet, cabinet, the dishwasher, the washer drum, the balcony and the storage cage. Things hide in all six.
At delivery	Direct placement room by room, then walk the inventory against the tags before the truck leaves.

The Miami-specific traps

Heat is a real risk to your belongings

An unconditioned truck or storage unit in a Miami August will exceed 120°F inside. Candles liquefy, vinyl records warp, electronics fail, wine is ruined and solid wood splits. Anything heat-sensitive travels in your own air-conditioned car or in climate-controlled transport — there is no third option that works here.

Hurricane season overlaps half the year

June 1 to November 30. A named storm can close ports, shut down interstate routes and put your building into lockdown with no notice. Ask your mover their storm policy before you book, keep a flexible backup date if your move falls in September or October, and confirm your goods are covered in storage as well as in transit.

The first of the month is a bottleneck

South Florida leases overwhelmingly turn on the 1st. Movers, elevators and truck rentals all sell out for the three days either side. Moving mid-month is easier to book, easier to schedule and often cheaper.

Buildings, not movers, cancel most move dates

The most common failure we see is a certificate of insurance that names the management company but not the association, or lists a liability limit $1 million short of what the bylaws require. The front desk turns the truck away, the elevator slot is gone, and the next opening is two weeks out. Read the packet, forward it to your mover, and confirm the certificate was accepted — not just sent.

What to hand your mover when you request a quote

• Both addresses, with unit numbers and floor
• Stairs, elevator or ground floor at each end
• Approximate distance from truck to door
• Number of bedrooms and rough box count
• Any piano, safe, aquarium, pool table or large art
• Your building’s COI requirements
• Your date and whether it can flex

Give a mover those seven things and the quote you get back will be accurate. Withhold them and you are inviting the price to change on the day — which is the outcome this whole list exists to prevent.
