The office move checklist for Miami businesses

A twelve-week plan for relocating an office without losing a working day, from IT lead times to the Monday morning snagging list.

An office move is not priced in hours. It is priced in downtime. Every hour your team cannot work costs more than the truck. Here is how to plan one so Monday opens like nothing happened.

Twelve weeks out

  • Confirm both lease dates and identify the overlap. An overlap of even a week transforms the move; a same-day handover restricts everything that follows.
  • Appoint one internal owner. Not a committee. One person with authority to make decisions on the day.
  • Request move-in requirements from both building managers: COI wording, freight elevator booking, dock access, permitted hours.
  • Audit what you actually have. Most offices move furniture they should have disposed of two leases ago.

Eight weeks out

Get IT involved immediately

IT is the critical path in almost every office move. Order circuits now — commercial internet installation in Miami commonly runs four to eight weeks, and no amount of pressure compresses a carrier’s build schedule. A beautiful new office with no connectivity is a failed move.

Build the floor plan

Every workstation, office and storage area numbered on a plan. That numbering becomes the labelling system, and the labelling system is what stops things being sorted twice.

Decide the sequence

Most Miami office moves run Friday evening through Sunday. IT comes down last on Friday and goes up first on Saturday, because everything else depends on it.

Four weeks out

  • Colour-code by destination. Each area on the plan gets a colour; every item gets a matching label. Crews then need no instructions.
  • Brief staff on personal packing. Each person packs their own desk into a labelled crate. Set a hard deadline of the day before.
  • Confirm certificates of insurance were accepted by both buildings — not just sent.
  • Plan the disposal. Serviceable furniture can be donated with a receipt; e-waste needs a certified recycler. Both take longer to arrange than you expect.

Two weeks out

  • Confirm elevator and dock windows in writing at both ends
  • Update the address on your website, Google Business Profile, invoices, letterhead and payment processors
  • Arrange mail forwarding
  • Walk the new space and verify power and data outlets are where the plan says they are
  • Order any furniture that needs assembly on site

Move weekend

When What

Saturday am IT racked and powered at the new site first

The things that get forgotten

  • Keys and access cards for the old building — usually required back on the last day of the lease
  • Server room cooling at the new site, confirmed working before equipment arrives
  • The kitchen. A functioning coffee machine on day one does more for morale than anything else on this list.
  • Signage lead times, which are longer than you think
  • Cleaning of the old space to the standard the lease requires, or you lose the deposit

Records and compliance

If you hold client files, medical records or anything regulated, chain of custody matters. Sealed, numbered containers with a signed manifest at both ends. Ask your mover whether crews are background-checked — for a regulated business the answer needs to be yes and documented.

The single biggest saving

Dispose before you move, not after. You pay to move every filing cabinet you no longer need, then pay again to store it. An honest audit twelve weeks out is usually worth more than any negotiation on the moving rate.
